Responsibilities for the Administrative Assistant:     
  • Cover telephone lines
  • Manage the calendar
  • Coordinate travel including itinerary, transportation, and hotel
  • Reimburse expenses
  • Coordinate meetings including Outlook meeting requests, conference room booking, security clearance, and catering
  • Prepare presentations including editing, collating and distributing materials
  • Maintain database, including contact information and mailing lists
  • Coordinate and send mass mailings; conference and event invitation mailings
  • Assist with preparation and distribution of monthly and quarterly client reporting materials, using various internal data systems
  • Maintain files
  • Assist with a variety of department and team projects, as well as group outings
Requirements for the Administrative Assistant:
  • Bachelor’ s degree
  • 1-3 years industry experience (finance, administration, marketing, business development)
  • SalesForce experience preferred
  • Ability to work in a fast-paced and team-oriented environment, prioritizing effectively
  • Attention to detail and proficiency with Microsoft Outlook, Excel, and Word
  • Ability to use good business judgement and maintain confidentiality
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
