Responsibility for the Administrative Specialist:
  • Support Finance Manager with tracking of grant finances and completing quarterly project reviews
  • Prepare and track purchase orders and follow up on invoice payments
  • Manage and track expense reports for staff; work with the Institute’ s Office of Sponsored Programs to ensure adherence to grant spending guidelines
  • Process a high volume of complex expense reports, ensuring appropriate allocation to accounts
  • Support development and testing of financial forms, systems, reporting, and functionality
  • Design and maintain tracking systems to monitor administrative processes
  • Assist with grant application process, including preparation of budgets, biosketches, and other essential paperwork
  • Provide general project support, as needed, including creating slides, coordinating travel arrangements, and arranging internal and external meetings
Requirements for the Administrative Specialist:
  • BA/S with 3+ years of related experience in an administrative or finance role
  • Proficiency with various software packages, including Microsoft Word, Excel, Power Point, and other desktop tools
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
