Our client in Boston, MA is seeking a Part Time Administrative Assistant to join their team. In this contract role, you will support the Vice President Leadership team and report to the Director of Administration. As the Part Time Administrative Assistant, you will also provide administrative support to the Vice President of Finance and Operations; the Vice President of Advancement; and the Vice President of Policy and Practice, Chief Medical Officer. Responsibilities for the Part Time Administrative Assistant:
  • Provide general administrative support to Vice President Leadership team, including schedule and calendar management, as requested
  • Coordinate travel arrangements
  • Maintain supply inventory
  • Order lunches/breakfast as necessary for meetings
  • Perform ad hoc projects as directed
  • Assemble, reconcile, and code monthly credit card statements for the vice-presidents, and create and submit expense reports
  • Produce and distribute materials for in-person meetings and conference calls
  • Coordinate all logistics for in-person meetings and special events, including conference space, meals, materials, audio visuals and other meeting needs, as requested
  • Assist with the scheduling of meetings, recording and distribution of approved meeting minutes, assisting with preparation of agenda items and documentation and tracking of all action and follow up items as necessary
  • Support event planning and fundraising efforts
  • Working with the VP of Advancement, answer and respond promptly to calls, emails and requests from donors, volunteers, corporate contacts, sponsors and inquiries at large
  • Take appropriate steps to follow-up and assess when situation merits supervisory assistance
Requirements for the Part Time Administrative Assistant:
  • 3-5 years of experience in an administrative support role; college degree preferred
  • Experience supporting multiple individuals or teams
  • Strong customer service skills and the poise to interact with trustees, donors, supporters and vendors
  • Excellent analytical skills
  • Ability to work and complete assignments independently
  • Excellent Microsoft Outlook Calendar management skills
  • Strong computer skills, with proficient knowledge of Microsoft Word, Excel, and PowerPoint, and an ability to learn Raiser’ s Edge (donor database software)
  • User-level expertise of office technology equipment, such as conference call phones and LCD projectors
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
