A leading construction company in Plaistow, NH is seeking a Project Administrator to manage and control contract and project related documents and processes in support of all projects assigned. The Project Administrator works directly with the Project Management Team and Manager of Project Administration providing support on all contractual administration phases of the project. Responsibilities for the Project Administrator:
  • Responsible for new project set up within project management software for all pertinent project specific items including the entry of the submittal log, drawings, specification and project information
  • Maintain electronic and hard copy file structure for complete project
  • Review contract documents, contract drawings/plans and specifications and determine which project specific forms will be required
  • Create project specific Subcontract attachments
  • Generate, process, administer, log and/or track Purchase Orders, Subcontracts, Change Orders, Commitment Change Orders, Potential Change Orders/Change Requests, Request for Information (RFI), Work Change Directives and Submittals
  • Assemble and distribute Subcontract/Purchase Order Information Packets based on contractual project specific requirements
  • Provide support to Project Managers, Project Engineers, and Project Administration Manager
  • Manage MBE/WBE process, paperwork, and requirements from both the Owner and Subcontractor side
  • Update Schedule of Participation spreadsheet for percentage requirements
  • Create project specific Certificate of Insurance limitation and verbiage requirements based on bid and contract documents
  • Provide consistency in dunning procedure. Utilize all means of communication for follow up as necessary
  • Proofread and create correspondence for PM, PE, Superintendent, Estimating and Management as requested
  • Manage all document control within company server, project management, FTP site and/or hard copy files
  • Direct interaction with Owner of Projects, Vendors, Subcontractors and Engineers
  • Produce and customize reports
  • Utilize project management software to full potential for dunning process, document sharing and communication
  • Must be able to understand and adapt to the contractual requirements of each individual project, along with consistent maintenance of Methuen Policies and Procedures
  • Provide continuous guidance and training of Administration Assistant as needed
Requirements for the Project Administrator:
  • 3-5 years’ experience in construction, service and/or engineering environment
  • Experience with Contract/Project Management Software, FTP site and/or document sharing site
  • Familiar with Timberline, Sage, Procore, Submittal Exchange, Primavera and Sharepoint
  • Results driven
  • Travel is primarily limited to Northeast jobsite locations
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
