Our client in Brookline, MA is seeking a Special Projects Coordinator to join their team. As the Special Projects Coordinator, you will be responsible for the planning, budgeting, marketing, and logistics of all educational events, outreach projects, fundraising events, and other programs and events as assigned.   These projects vary from developing new support groups for patients (both in person and online), to planning a series of educational events across the US for healthcare providers, to planning fundraising events for existing donors and to help cultivate new donors. Responsibilities for the Special Projects Coordinator:
  • Work closely with the Executive Director on grant applications, status reports, and reconciliation for new and ongoing projects
  • Oversee event logistics, which includes:  manage all event’ s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc.
  • Manage program faculty and guest speakers
  • Propose ideas to improve provided services and event quality
  • Responsible for audience generation for all live and online programs
  • Work closely with the Assistant Director of Content Development and graphic designer (third party) to create marketing materials, invitations, and collateral for all company events
  • Work with Staff and Board of Directors to develop new educational and outreach programs
  • Work with Staff and Board of Directors to develop new print outreach and educational materials
  • Collaborate with external partners and consultants on special projects
  • Develop and maintain strategic partnerships
  • Responsible for developing and tracking the budget of each individual project
  • Proactively handle any arising issues and troubleshoot any emerging problems for assigned projects
  • Conduct pre- and post – event evaluations and report on outcomes
  • Research market, identify event opportunities and generate interest
  • Assist with general office duties, such as ordering of supplies, ensuring that the equipment is kept in good working order, responding to inquires from patients, healthcare providers, and the general public
  • Provide support to the Executive Director as needed
Requirements for the Special Projects Coordinator:
  • Bachelor’ s Degree
  • 1-3 years of prior experience working and/or volunteering in a healthcare non-profit or related field, preferably in an event planning role
  • Knowledge of medical terminology and facts preferred
  • Excellent interpersonal and verbal/written communication skills
  • Knowledge of Mac computers and software including Adobe and MS Office; ability to learn new programs as needed
  • Knowledge of using web and social media for marketing communications and fundraising purposes
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
