Responsibilities for the Receptionist:
  • Answer telephone, screen and direct calls
  • Take and relay messages
  • Provide information to callers
  • Greet persons entering organization
  • Direct persons to correct destination
  • Deal with queries from the public and customers
  • Ensure knowledge of staff movements in and out of organization
  • Monitor visitor access and maintain security awareness
  • Maintain GoToMeeting web and phone conference call scheduling
  • Provide general administrative and clerical support
  • Receive and sort mail and deliveries including confidential and time sensitive correspondence
  • Maintain appointment calendar manually and electronically for all HR visits
  • Organize conference and meeting room bookings
  • Monitor and maintain office equipment including computer and fax machine
  • Control inventory relevant to reception area
  • Tidy and maintain the reception area
Requirements for the Receptionist:
  • College diploma or educational equivalent (e.g. secretarial training)
  • 6-8+ years of work experience preferred
  • Knowledge of administrative and clerical procedures
  • Long tenures at companies (e.g. 5+ year stints ideal)
  • Knowledge of computers and relevant software application including Microsoft Word, Excel and Lotus Notes
  • Knowledge of customer service principles and practices
  • Keyboard skills – strong typing skills for both accuracy and speed
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
