A major healthcare provider in Somerville, MA is seeking an Administrative Assistant / Schedule Coordinator to join their team on a contract basis. In this role, you will undertake a variety of administrative duties. You will facilitate daily HR functions like keeping track of new hire appointment records while supporting both two teams of staff.

The ideal candidate will have a broad knowledge of scheduling appointments as well as general administrative responsibilities. This person will be able to work autonomously and efficiently to ensure the end-to-end running of pre-placement new hire appointments. Key attributes are a sense of urgency, multi-tasking skills, problem solving abilities, excellent computer skills, and excellent phone etiquette.

Responsibilities for the Administrative Assistant / Schedule Coordinator:
  • Coordinate and schedule all pre-placement appointments
  • Remind employee of all needed information in advance of the appointment
  • Respond to internal and external HR related inquiries or requests
  • Redirect HR related calls or distribute correspondence to the appropriate person of the team
  • Support the recruitment/hiring process facilitating access to pre-placement appointments
  • Update new hire records with correct information
  • Produce and submit reports
  • Support other functions as assigned

Requirements for the Administrative Assistant / Schedule Coordinator
  • High School Diploma or GED
  • 1-3 Years related work experience
  • Proven experience as schedule coordinator or relevant human resources/administrative position
  • Knowledge of administrative functions, processes and best practices
  • Outstanding communication and interpersonal skills
  • Ability to handle data with confidentiality
  • Good organizational and time management skills
  • Technology savvy with a strong knowledge working with Microsoft Office applications
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
