Responsibilities for the Administrative Assistant III:
  • Transcribe and type correspondence, forms, reports, manuscripts and other materials that may involve complex scientific, technical and/or specialized terminology
  • Answer, screen and route telephone calls, greet and direct patients/families, visitors and staff
  • Schedule appointments and organize conference calls and meetings, sometimes with large numbers of participants
  • Organize and schedule conferences, seminars and other department sponsored programs or events
  • Maintain departmental files, records and databases
  • Communicate regularly with suppliers, other medical center employees, patients and visitors
  • Perform routine maintenance and/or set-up of office or specialized equipment and requests equipment repair services as needed
  • Perform routine clerical duties, such as opening and sorting mail, photocopying materials and sorting, collating and distributing documents
  • Provide positive and effective customer service that supports departmental and hospital operations
  • Process check requisitions for travel reimbursements, honorarium, memberships and other purchases
  • Set up meetings (large and small) for special projects and standing meetings
  • Assist with budget management and variance reports, process reimbursements
  • Take calls from regulatory agencies and direct to appropriate staff
  • Request, retrieve and return medical records needed for epidemiologic investigations
  • Take minutes at specific regular meetings (e.g. Flu Vaccination Steering Committee, IC Steering Committee)
Requirements for the Administrative Assistant III:
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
