Responsibilities for the Administrative Assistant:
  • Manage team travel schedule, expenses, calendar, meeting preparation
  • Create event presentations/recap documents
  • Prepare for and attend appropriate meetings to effectively manage team projects
  • Collaborate and communicate with internal teams on projects and external vendors
  • Schedule meetings and conference calls for events team (includes booking conference rooms and confirming schedules)
  • Coordinate global event calendar & project grid
  • Process invoices and reconcile credit card statements
  • Events:
    • Communicate with internal teams and external vendors on projects
    • Maintain events archives & final files
    • Assist with on-site event execution
    • Coordinate shipping and logistics for all events

Requirements for the Administrative Assistant:
  • Up to 2 years prior relevant experience
  • Strong attention to detail
  • Highly organized
  • Demonstrated self-starter, with the ability to work on multiple projects autonomously
  • Strong communication skills (written and verbal)
  • Ability to deliver timely, accurate work product and demonstrate solid follow-up
  • Ability to build supportive and constructive relationships both internally and externally
  • Exceptional computer skills (Word, Excel, PowerPoint)
  • Must be eligible to work in the U.S. without sponsorship
