Responsibilities for the Administrative Assistant:
  • Responsible for calendar management, expense reimbursement and general administrative support for Vice President of Venture, PIF Partners and the Managing Director, Operations
  • Schedule and handle logistics for Board Meetings
  • Schedule and coordinate interviews for assigned team
  • Set up/break down meetings; including AV and teleconference
  • Order catering and invoice payment for group
  • Register conferences for assigned group
  • Upkeep office equipment in assigned area
  • Provide lunch reception coverage per rotation
  • Serve as back up for other administrative assistants
  • Perform special projects as assigned by Director of Administration
  • Perform special project work (process improvements, trainings) for Managing Director, Licensing
  • Manage Department (chief code) Assignments
Requirements for the Administrative Assistant:
  • Bachelor’ s Degree
  • 2+ years of related experience, ideally in the administrative field / healthcare environment and/or experience supporting executive/senior management
  • Excellent interpersonal skills to deal effectively with senior management, staff and vendors
  • Proficiency with office systems (Ricoh copiers, scanners, ID software)
  • Strong verbal and written communication skills
  • Excellent organizational skills
  • Proficiency with Microsoft Outlook, Word, Excel, Access, and PowerPoint
  • Problem solving skills with exquisite attention to detail and follow through
  • Strong positive and customer oriented focus
  • Demonstrated ability to work independently and accurately
  • Demonstrated ability to exercise discretion and maintain strict confidentiality
  • Demonstrated ability to juggle multiple tasks and competing priorities
  • Must be eligible to work in the U.S. without sponsorship
