A growing real estate investment firm in Boston, MA is seeking a dynamic Administrative Assistant to join their team. In this role, you will support and report directly to the two co-founders, and will also provide support to the office team. You will be joining a small and fun team of professionals. Responsibilities for the Administrative Assistant:
  • Provide a range of administrative support to management and staff, such as scanning, faxing, filing, ordering supplies, and maintaining calendars for management team
  • Generate correspondence such as memos, letters and business updates for managers
  • Research information; collect information from files or other sources for routine inquires and reports; analyze data and prepare regularly scheduled reports of data, as needed
  • Troubleshoot computer and phone issues and work with the tech department to resolve issues
  • Make travel arrangements, prepare expense reimbursements and check requests for management and staff
  • Organize and collate document packages – this includes proofreading, printing, and distributing as appropriate
  • Understand and maintain an internal electronic document filing system.  Archive, scan and upload documents to database
  • Responsible for data input into Salesforce database
  • Participate in firm-wide activities/initiatives and other special projects as necessary
  • Maintain confidential and sensitive information
  • Other responsibilities as required

Requirements for the Administrative Assistant:
  • Bachelor’ s Degree
  • 5+ years administrative assistant experience in a fast-paced environment, preferably in a finance or commercial real estate environment
  • Some analytical experience
  • Knowledgeable in real estate policies and procedures
  • Solid computer, office management and organizational skills
  • Comfortable working in Microsoft Outlook, Excel and PowerPoint
  • Tech savvy and willing to learn new software products as needed
  • Must be eligible to work in the U.S. without
