In this role, you will provide administrative support to the Office Manager and serve as an Office Services resource in the coordination and execution of the corporate office administrative operations. Responsibilities for the  Administrative Assistant:
  • Provide support to reception including answering and directing telephone calls, receiving and directing guests, vendors and delivery staff, as well as other related tasks
  • Coordinate the facilities logistics for set up for new employees 
  • Submit and approve facilities work orders
  • Take inventory of office supplies 
  • Assist with generating activity and inventory reports, organizing the annual records destruction file lists and assisting with file transfer procedures
  • Assist with processing of invoices, create new vendor forms and process monthly expense reports
  • Provide inventory and quarterly reports, as needed
  • Assist the Office Manager with the Office Services annual budget process by preparing data and updating data, quarterly
  • Sort, open and deliver department mail; process outgoing mail
  • Coordinate early close procedures with security and vendors (ie. notifications)
  • Coordinate conference room reservations, visitor pre-clearance and other meeting related matters

Requirements  Administrative Assistant:
  • Bachelor’ s degree
  • 1-2 years’ experience of administrative support experience 
  • Strong organizational skills with ability to set priorities, manage multiple projects, and meet project deadlines
  • Demonstrated ability to determine needs and achieve results without close supervision
  • Demonstrated ability to take initiative and lead projects
  • Ability to effectively interface with all departments of the company and to represent the company in a highly professional manner
  • Superior verbal and written communication skills
  • Strong analytical skills
  • Exhibits and champions excellence in work and willingness to embrace change
  • Must be eligible to work in the U.S without sponsorship
