A leading financial services company in Boston, MA is seeking an Administrative Assistant to join their team part-time (12pm-5pm Monday through Thursday). This contract role is responsible for providing client-focused front office duties and administrative support. The general function and objective of the Administrative Assistant is to professionally and promptly answer all phone calls, assist clients, visitors and employees, and perform a wide range of office service functions. Responsibilities for the Administrative Assistant:
  • Contact building management for visitor security clearance, maintenance issues and work order requests as needed
  • Act as mailroom manager and contact person for all mailing needs
  • Resolve any errors with vendor deliveries and/or billing and assures proper credits are given
  • Maintain parking pass log and maintain and order pantry supplies
  • Maintain a schedule of all conference rooms and visitor offices; coordinate seating arrangements for visitors, which includes preparing temporary name plate
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipate needed supplies; place and expedite orders for supplies; verify receipt of supplies
  • Update the directory by making necessary changes or updates to contact information of new and current employees
  • Process and submit vendor invoices through the A/P software, Esker, for approval workflow to A/P
  • Order standard new hire desktop supplies
  • Order building access cards, equipment supplies
  • Answer and handle all phone calls and messages (external/internal) in a professional manner; maintaining an appropriate sense of urgency when required
  • Promptly greet and assist all visitors and employees with a professional, positive, and enthusiastic attitude
  • Keep client facing conference rooms tidy and presentable at all times.
  • Coordinate, order, set-up and put away food for breakfast or luncheon meetings
  • Distribute all incoming mail, newspapers, express mails and courier deliveries
Requirements for the Administrative Assistant:
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
