Responsibilities for the Administrative Assistant/Receptionist:
  • Serve as general receptionist
  • Provide administrative support to the Chief Financial Officer and one other
  • Perform daily administrative and clerical tasks and maintain supplies
  • Schedule meetings, conference calls, and meet/greet visitors
  • Arrange travel needs
  • Maintain contact information
  • Record expenses for the office and staff and expedite payments
  • Support administration of monthly donation process: create the check request packet; update and maintain the Grant Status database; send cover letter and check to the grantees; etc.
  • Maintain and update all databases and grantee files
  • Interact with grantee contacts as needed for updating and clarification of grant information and IRS documentation and Impact Reports
  • Maintain binders of IRS receipts for tax purposes
  • Provide requested reports
  • Monitor mailbox sites and log content, respond to email inquiries, or forward inquiry to appropriate staff member
Requirements for the Administrative Assistant/Receptionist:
  • Bachelor’ s Degree preferred; Associate’ s Degree required
  • Trustworthy, ability to act with maturity and discretion, handle highly confidential information.
  • Excellent oral and written communication skills, with a focus on service and interpersonal skills
  • Ability to keep the work of the confidential, with tact and discretion
  • Familiarity and skill with Microsoft Word, Excel, PowerPoint and Outlook and ability to learn other software platforms
  • Experience working in an office and handling relevant tasks
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
