A Boston based investment management firm is seeking an Analyst Administrative Assistant to join their team. This position is a member of the five person administrative support team, whose main focus is real estate investing. This position is not a training ground for a future investment analyst position, but offers challenging work in a dynamic environment for a highly skilled administrative assistant who enjoys being a member of a team supporting a large group. The hours for this role are from 10: 00 a.m. to 6: 00 p.m., Monday through Friday, with flexibility to adjust hours as needed. Apply today!

Responsibilities for the Analyst Administrative Assistant:
  • Screen and direct various communications, including answering and directing incoming calls, setting up conference calls, distributing faxes, etc.
  • Assist with calendar management, travel and meeting arrangements, etc. for analysts
  • Maintain various company databases, contacts, and files
  • Download and organize research from various websites
  • Document scanning, filing, and managing
  • Process legal documents for signature 
  • Prepare expense reports
  • Draft various correspondences for analysts, as requested
Requirements for the Analyst Administrative Assistant:
  • Bachelor’ s Degree or equivalent with 3-10 years professional experience in a fast-paced administrative support role - financial and/or real estate industry experience preferred, but not required
  • A reputation with previous employers for the highest integrity and outstanding performance
  • Strong organizational and problem solving skills
  • Intermediate to advanced level Microsoft Office skills (Word, Excel, PowerPoint, Outlook)
  • Strong command of English grammar and syntax
  • Excellent and clear communication skills, both written and oral
  • Ability to work independently while at the same time work effectively in a collaborative structure with personnel throughout every level of the company
  • Proven track record of success working collaboratively within a large team strongly preferred
  • Thrive in a fast-paced, deadline oriented environment, with the ability to multi-task and manage details
  • Experience supporting teams of high level investment and or real estate professionals is preferred, but not required
  • Must be eligible to work in the U.S. without sponsorship
