Our client in Boston, MA is looking for a Conflicts and Client Administrator to join their team. In this role, you will ensure the timely and accurate processing of conflict checks, input and review of interested parties, and the new client intake process. You will be responsible for the accurate data entry of new clients, who you will then manage in the billing and document management system.   Responsibilities for the Conflicts and Client Intake Administrator:
  • Open new client matters in strict adherence to firms billing and collection procedures and company processes
  • Maintain listing of exceptions to billing and collections procedures as it relates to the new account opening process
  • Works closely with Secretaries and Attorneys to gather necessary data to complete client account opening process
  • Review billing guidelines of clients and setup of matters accordingly
  • Request and record all necessary conflict resolution documentation, including attorney approvals, waivers and engagement letters
  • Create firm new client report files in document management system
  • Work closely with records department to ensure physical files are created
  • Manage matter file closings and requirements
  • Perform data integrity checks in accounting software, document management and CRM system
  • Provide training and guidance to secretaries and staff regarding conflicts and intake policies and procedures.

  Requirements for the Conflicts and Client Intake Administrator:
  • Associates degree in Accounting or equivalent experience
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
