Responsibilities for the Events Administrator:
  • Liaise between university departments
  • Build agendas and manage meetings, activities and progress toward event goals to produce follow-up summaries
  • Contact speakers or presenters, arrange for payment or honorarium
  • Assist with plans for marketing and publicity
  •   Work with internal and external graphic designers and external printers creating save the date cards, invitations and printed programs for events
  • Draft initial invitation and program text for review by the director and development officers
  • Facilitate internal approval process and final production schedule for printed materials
  • Confirm final preparations and coordinate logistics at venue
  • Manage and oversee event registration processes
  • Troubleshoot issues in collaboration with the Associate Director as required
  • Greet donors and guests
  • Manage event volunteers
  • Identify, recruit, train and lead volunteers for alumni programs and events
  • Organize, guide and provide advice and expertise to volunteers
  • Manage online volunteer submissions and database management
  • Tracks and follows up on action items for student and alumni volunteers
  • Troubleshoot problems: refer complex questions or concerns to the correct individual
Requirements for the Events Administrator
  • High school diploma/GED
  • 5+ years of administrative experience or a Bachelor's Degree and 2+ years of experience
  • Advanced knowledge of Microsoft Office suite including word processing, editing and graphics functions, spreadsheet and database knowledge
  • Bookkeeping or basic accounting knowledge and excellent organizational and interpersonal skills.
  • Experience in higher education or another nonprofit setting
  • Prior experience assisting with event planning
  • Prior experience or knowledge of fundraising and alumni relations
  • Knowledge of social media and the various changes within the social and digital media arena
  • Ability to best communicate the company's message on different social media platforms, determine audience, and measure outcomes
  • Experience with advance or comparable donor information management system is highly desirable
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
