Our client in Cambridge, MA is seeking an Executive Assistant to join their team. As the Executive Assistant, you will be responsible for supporting the Heads of Risk and Commercial Credit as it relates to project and initiative management and business line coordination and communication. Responsibilities for the Executive Assistant:
  • Manage the Heads of Risk and Commercial Credit’ s schedule and workload in order to adequately prepare them for their meetings
  • Receive and follow up on confidential information
  • Serve as point of contact for all departments of the bank regarding questions, scheduling and projects for the Risk and Commercial Credit departments
  • Assist in the project management process related to bank-wide projects that impact the respective business unit
  • Manage key projects as assigned by the CRO and CCO and pulls in key partners to bring projects to resolution
  • Serve as the key communication liaison between the groups as well as the other departments
  • Responsible for keeping communication between all parties fluid and collaborative
  • Complete projects and special assignments as needed 
  • Maintain and gather data input for production and updates of several Dashboard reports, and distribute reports as directed to appropriate Division and Executive managers
  • Assist/support CRO and CCO in the creation/production/updating of Strategic Planning supporting materials, and tracking progress of Strategic Plan goals and objectives
  • Facilitate meetings and take minutes for specific meetings determined by CRO and CCO
  • Manage and lead the new hire on-boarding program for Risk and Commercial Credit
  • Work collaboratively with Learning and Development, ensure that new hire employees experience key onboarding activities and complete key in-field learning activities as appropriate
  • Process expense reports for CRO and CCO monthly
  • Coordinate the Yearly Budget process with Accounting and Management for Departments
  • Completes various office support and administrative duties for the CRO and CCO
  • Establish and schedule meetings and conference calls
  • Record minutes from meetings and conference calls
  • Create and edit documents in Microsoft PowerPoint, Excel, Access, Word, and Publisher
  • Establish and maintain effective working relationships with other employees and customers
  • Contribute to the effective team management of all bank priorities
Requirements for the Executive Assistant:
  • High school education, plus post-secondary education
  • 3-5 years’ banking experience
  • Proven administration skills
  • Effective project management skills with the ability to organize and prioritize work assignments
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
