Our client in Boston, MA is seeking an Executive Assistant to join their team. As the Executive Assistant, you will provide high-level executive administrative support to the Executive Director, the Managing Partner, and the Practice Group Leader Chair (PGL Chair). You will provide information; conduct research; prepare memoranda, letters and reports; handle information requests; maintain files; provide coordination for meetings; and take and maintain meeting minutes. The position calls for strong technical skills, flexibility, excellent interpersonal skills, project coordination experience, the ability to work well with all levels of internal management and staff, as well as outside clients and vendors, and uncompromising discretion and confidentiality. Responsibilities for the Executive Assistant:
  • Coordinate with the Executive Director, the Managing Partner, and the PGL Chair regarding advance notice and preparation relating to recurring management responsibilities and activities
  • Work independently and within a team on special nonrecurring and ongoing projects
  • Update, monitor and issue reminders for delegated tasks to ensure that deadlines are met and that projects stay on schedule
  • Use Word, Excel, and PowerPoint software and type, transcribe, design and/or prepare reports, correspondence, memos, charts, tables, graphs, business plans and other documents
  • Proofread copy for spelling, grammar and layout, making appropriate changes
  • Act as recording secretary; prepare action minutes
  • Schedule and organize complex activities such as meetings, travel, conferences and Executive Committee activities for the Executive Director, the Managing Partner, and the PGL Chair
  • Handle confidential and non-routine information and explains policies when necessary
  • Relieve management of administrative detail for a wide range of projects
  • Coordinate work flow
  • Update various records and charts in response to employee updates, billing rates and standard charges
  • Establish, develop, maintain and update filing system
  • Draft written responses or replies by phone or e-mail when necessary
  • Create and maintain a procedures manual to ensure consistent performance of routines
Requirements for the Executive Assistant:
  • Bachelor’ s Degree along with up to 5 years’ experience providing support to Senior Executives
  • Appreciation of and respect for confidentiality
  • Strong skills in Word, Excel, PowerPoint and Outlook
  • Time management skills; ability to manage multiple priorities and work under the pressure of constant and changing deadlines
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
