Responsibilities for the Executive Assistant:
  • Schedule resources such as people, meetings and appointments, rooms, equipment, or other resources (i.e. vehicles)
  • Plan and coordinate travel arrangements; maintain calendars
  • Sort and distribute mail, fax, make copies, file
  • Reconcile and submit expense reports
  • Gather and arrange materials and relevant information for supervisor or assigned project (e.g. reports, charts)
  • Assemble client presentation materials
  • Maintain, update or create databases and/or database information (e.g. files, records, etc.)
  • Draft correspondence and memoranda, prepare and distribute detailed minutes of meetings
  • Prepare high quality presentations, reports, spreadsheet and other documents
  • Communicate policies and guidelines from supervisor’ s office to either internal or external parties, as necessary
  • Work with confidential information in a professional and discrete manner
  • Proofread documents, reports and letters for typographical and grammatical errors as well as for content, and make revisions as needed
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Requirements for the Executive Assistant:
  • 2 + years’ experience.
  • Bachelor's Degree
  • Proficient in MS Office (Word, Excel, PowerPoint & Visio)
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
