Responsibilities for the Executive Assistant:
  • Maintain and prioritize the schedule of the Vice President for Development, including meetings, conferences, teleconferences and travel
  • Screen and review written correspondence, initiating action as needed and/or research, and provide information to assist the Vice President of Development
  • Prepare meeting and/or project materials for visits with prospects and donors, as well as for various committees and projects as assigned
  • Draft and edit written correspondence (i.e., briefing memos, agendas, bios, etc.) as necessary, proofread and edit materials prior to their delivery
  • Manage projects and initiatives related to donor activity across the Development Office team
  • Establish processes as needed to simplify recurring work and to create efficiencies
  • Coordinate training, educational and divisional meetings/programs (on- and off-site), including scheduling and preparation of materials
  • Organize, maintain and update administrative files, records, logs, databases, etc., including prospect and donor-related information and correspondence on a consistent and timely basis
  • Prepare, maintain and distribute minutes for various meetings as assigned
  • Responsible for payroll management for members of the Development Office
  • Handle information which may be of a confidential and/or sensitive nature
  • Greet, escort, direct and/or assist donors and prospects, visitors, patients, hospital personnel, administrative personnel, board members, and medical staff
  • Answer the main telephone for the development office and gather screening information; take and manage messages and/or provide routine information as necessary
  • Sort incoming mail and distribute as needed, and create a daily log of checks, cash, in-kind gifts, etc.
  • Prepare forms, check requests, purchase orders, requisitions and order supplies as necessary on behalf of the Development Office
Requirements for the Executive Assistant:
  • Bachelor’ s Degree or equivalent experience preferred
  • 3-5 years of development/executive assistant experience
  • Prior experience in a health care setting preferred
  • Ability to work in a fast-paced environment and multi-task
  • Excellent administrative/secretarial skills (i.e., organizational, interpersonal, computer skills (Microsoft Office), and customer service)
  • Familiarity with The Blackbaud Raiser’ s Edge fundraising database of record preferred
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
