Responsibilities for the Executive Assistant:
  • Manage complex calendars, meetings arrangements, appointments and travel arrangements
  • Attend meetings with executive to provide logistical support, take detailed notes, and track needed follow up items
  • Manages complex calendars, arranges for meetings, appointments and travel arrangements for the director, and backfills for senior level faculty as necessary
  • Review, assess, route, answer and monitor follow up action steps on correspondence
  • Coordinate events, including conferences, seminars, and colloquia for the Director
  • Answer and route phone calls, mail and e-mail messages and may handle wide-range information dissemination for the director
  • Gather and analyze information required for administrative reporting
  • Perform library/research work and summarize findings for the director
  • Provide wide ranges of support including: composing and editing letters, memoranda, reports, lecture/course materials, presentations, and cases
  • Assist in purchasing and maintaining of inventory of office and kitchen supplies
  • May assist in training, scheduling, and distributing work of students, casuals, or temporary staff
  • May assist with interviewing for faculty or staff assistant positions supporting the director, including graduate student research assistants
  • Serve as principal administrative contact and liaison with all University constituents and external contacts, typically including government and media agencies
Requirements for the Executive Assistant:
  • Ability to rapidly learn departmental policies and procedures
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
