We have an exciting opening in Boston, MA as an Executive Assistant for an executive search team. As the Executive Assistant, you will support one or more consultants by providing ongoing assistance in all aspects of the executive search process, relieving the executive of administrative detail on projects. The role requires an individual capable of planning, executing and finalizing projects according to strict deadlines.

Responsibilities for the Executive Assistant:
  • Arrange all scheduling
  • Manage a complex calendar and prioritize meetings/calls as needed
  • Arrange and coordinate complex and detailed travel plans, itineraries, and agendas for both the Consultant and Candidate
  • Compile documents for travel-related meetings
  • Process expense reimbursements for Consultants and Candidates
  • Communicate directly, and on behalf of the Consultant, on Client, Candidate, and internal matters
  • Compose, prepare, and edit correspondence that is often confidential
  • Perform additional administrative support activities
  • Hold additional Office/Reception responsibilities to ensure the office is operating smoothly
  • Serve as client and candidate liaison assisting consultant in maintenance of daily search activities
  • Provide ongoing project management assistance in complex and confidential assignments
  • Work with Consultant and Research to ensure deadlines are met and client and candidate needs are served
  • Ensure that global database is up-to-date and accurate
  • Produce high quality Client and Candidate deliverables
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion
  • Assist accounting department with invoicing to clients

Requirements for the Executive Assistant:
  • 5 years as an EA at the executive level, preferably within a professional services environment
  • Basic commercial business intelligence
  • Previous search firm and/or office administration preferred
  • Project management experience preferred
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
