A real estate company in Needham, MA is seeking an Executive Assistant to join their team. Responsibilities for the Executive Assistant:
  • Answer phone inquiries, direct calls, and provide basic company information
  • Comfortable performing clerical duties, taking memos, maintaining files, and organizing documents
  • Photocopy, fax, collate, etc., as needed
  • Arrange travel, accommodation, itineraries, and all correspondence related to arrangements as needed
  • Plan/organize and implement events such as meetings, business luncheons, or client dinners
  • Manage executive schedule and acts as liaison for executive team
  • Prepare reports, presentations, and data, as well as maintaining files, records, and correspondence for meeting
  • Handle confidential information; organize and maintain files
  • Prepare information and research for executive needs
  • Help plan company events, meetings, and employee team building activities or special projects
  • Answer phone inquiries, direct calls for executive team
Requirements for the Executive Assistant:
  • Bachelor’ s Degree in business administration or related field preferred
  • 3-5 years’ prior experience in mid- to senior-level administration, business, management, or related field
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars a must
  • Comfortable in a fast-paced environment with multiple tasks and projects at hand
  • Able to organize and manage large amounts of files, tasks, schedules, and information
  • Self-directed and able to work without supervision
  • Energetic and eager to tackle new projects and ideas
  • Able to perform all clerical duties, taking memos, maintaining files and confidential information, organizing documents as needed
  • Able to concentrate on multiple problems/tasks at once
  • Excellent time management and prioritization skills
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
