As the Executive Assistant, you will support the President being in charge of a wide range of responsibilities. Responsibilities for the Executive Assistant to the President:
  • Read, prioritize, and reply to email and other correspondence, including preparation of dictated responses
  • Manage President's calendar and review and update master office calendar so that the two calendars are in synchrony
  • Maintain and scrub business and personal contacts database
  • Organize and file President's notes, records and documents in hard and electronic formats related to office and personal activities, so that materials are readily available when needed
  • Arrange in person and telephonic meetings, including assembly of meeting materials
  • Manage President's travel (business and personal) as well as employee travel when they accompany the President on business trips
  • Serve as liaison with wide range of advisors, trustees and outside professionals
  • Research a variety of topics as requested and access various publications
  • Organize hospitality for office functions
  • Assist office manager with office supplies with inventory and equipment maintenance
  • Attend to tasks related to family needs from household staff to supporting life style generally
  • Manage personal shopping
Requirements for the Executive Assistant to the President:
  • 15 years' experience as an Executive Assistant
  • Understanding of privacy, discretion and confidentiality
  • Ability to take dictation
  • Deep competency with Microsoft Word, Excel and PowerPoint
  • Experience with records management/document sharing (eg, Sharepoint)
  • Good writer/editor
  • Ability to prioritize President's requests
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
