Responsibilities for the Group Travel Contract Coordinator:
  • Review new group requests from our affiliated specialists
  • Create group agreements for our customers with correct pricing, terms and group benefits
  • Update and revise any group agreements with requested changes or expired rates
  • Ensure all promotions, rates, and terms/conditions are updated and accurate from our wholesale partners
  • Format terms and conditions, amenities and promotions from the wholesaler to the customer
  • Assist our affiliated specialists with any price matching or general group contract questions
  • Keep an organized file of formatted terms and conditions for use in our group agreements
  • Maintain an organized work flow and prioritize outstanding or urgent items.
  • Help develop and document clear procedures and modules for our specialists to reference
  • Cross train in other areas of department to assist when necessary/during high season
  • Learn contracts in the Canadian market and be able to assist when needed.
  • Work with the team to achieve uniform goals and standard response times
  • Gather appropriate level of information needed to make decisions
  • Escalate issues to upper management when appropriate
  • Build relationships within organization (resorts/wholesalers/sales representatives)
Requirements for the Group Travel Contract Coordinator:
  • Must be able to work with financial numbers and rates
  • Must be comfortable in learning how to read and understand a group contract
  • Must have the ability to prioritize multiple tasks throughout the day and demonstrate good time management
  • Must be able to maintain a strong work flow, while providing updates to keep the process moving along
  • Capability to work in a fast paced, consistently busy environment
  • Proficient in Word, Outlook, Excel, etc.
  • Familiar with Skype and Dropbox as business tools
  • Complete continuing education provided internally on new procedures or learning opportunities
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
