A prestigious law firm in Boston, MA is seeking an IT Administrative Assistant to join their team. As the Administrative Assistant, you will report to the Chief Information Officer (“ CIO”). Apply today!

Responsibilities for the IT Administrative Assistant:
  • Processes all department invoices
  • Maintain Excel spreadsheets to assist in developing and tracking the department’ s annual budget
  • Maintain and ensure compliance with the department’ s contracts, agreements, and leases
  • Administer all computer equipment, software and hardware maintenance leases
  • Keep track of all leased computer equipment
  • Track and document all software licenses in the firm
  • Obtain quotes for leasing and/or purchasing software and hardware as requested
  • Place orders for hardware and software products
  • Arrange for shipment and delivery of equipment
  • Oversee and ensure the organization of the Department’ s inventory
  • Assist the CIO with incoming and outgoing mail/email processing
  • Prepare correspondence and other documentation
  • Facilitate vendor and department calls
  • Document files in an organized manner
  • Coordinate meetings and food services for the CIO and the department
  • Make travel arrangements for the CIO and the department
  • Complete petty cash requests for the CIO
  • Photocopy and scan as necessary
  • Arrange for hand deliveries and conference calls
  • Schedule meetings and monitor the CIO’ s and the department’ s daily calendar
  • Take meeting notes for IT committees and department
Requirements for the IT Administrative Assistant:
  • High school diploma or its equivalent
  • 2+ years of relevant work experience, preferably but not necessarily, in the computer industry
  • Experience with Windows software
  • Ability to work collaboratively with team members as well as attorneys and staff throughout the firm
  • Adaptable to last minute changes and disruptions, and able to accommodate occasional overtime work
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
