A reputable law firm in Boston, MA is seeking a Legal Administrative Assistant to join their team. As the Legal Administrative Assistant, you will report to two or more assigned attorneys and/or paralegals as well as the Director of Human Resources. Apply today!

Responsibilities for the Legal Administrative Assistant:
  • Take initiative to assist attorneys and their practices in a proactive manner
  • Draft client/firm communications and simple legal documents
  • Review and edit legal documents; ensures accuracy of details
  • Provide excellent service to internal and external clients
  • Develop positive and productive relationships with members of the firm and its vendors, allowing for the effective use of internal services to efficiently perform work
  • Transmit all correspondence and other legal documentation to the appropriate client/matter files and the retrieval of the same
  • Place and receive phone calls to and from clients and others doing business with the firm
  • Retrieve and transcribe voice mail messages for attorneys (upon request)
  • Perform data entry of time/billing into the accounting system
  • Prepare client bills
  • Arrange and coordinate logistics and services for meetings, depositions, etc.
  • Coordinates travel arrangements
  • Ensure copy requests, mailings, etc. are completed timely and accurately
  • Arrange for service of process, hand deliveries and conference calls
  • Relay/interpret communications and/or work assignments between partners and associates
  • Monitor and manage attorney calendars and, in some instances, diaries for time keeping purposes
  • Interface with firm Library on research requests
Requirements for the Legal Administrative Assistant:
  • BA/BS degree preferred
  • Prior administrative, legal and/or executive assistant experience
  • Full proficiency in Microsoft Office products, such as Microsoft Word and Microsoft Outlook
  • Excellent grammar, spelling and proofreading skills
  • Ability to adjust work schedule so to accommodate occasional overtime work
  • Ability to maintain strict confidentiality in firm and client matters
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
