Under general supervision, you will manage office administration for efficiency and productivity for all team members.  The ideal candidate performs daily activities with strong administrative and organization skills, tact, diplomacy and judgment.  Responsibilities include a broad range of administrative tasks, including:  office logistics, administrative support to team members, expense reporting; arranging travel plans, and meeting support. Responsibilities for the Office Administrator:
  • Manage office systems through effective vendor coordination:  printers, furniture, tenant improvements, mail, kitchen, office supplies, recycling, shredding service, business cards and stationery
  • Manage schedules for and refresh conference rooms
  • Order team lunches, including set up, and break down
  • Make travel arrangements, develop itineraries and agendas
  • Assist with special projects such as meetings with complex logistics
  • Create and submit expense reports for senior leadership
  • Maintain non-disclosure documents and contract files
  • Assist with IT needs by learning how to do teleconferencing and helping others, ordering equipment, assisting with onboarding, and coordinating technical support
  • Assist other administrative staff as needed

Requirements for the Office Administrator:
  • Some college preferred
  • 3 years’ minimum experience as administrator in a busy office
  • Superior attention to detail and strong organization skills
  • Strong written, verbal, and interpersonal communication skills
  • Proficiency using Microsoft Word, Excel, PowerPoint
  • Customer Relationship Management (CRM) experience helpful
  • Ability to compile PowerPoint presentations and create basic spreadsheets
  • Experience in start-ups a plus
  • Ability to juggle multiple priorities and meet deadlines
  • Must be eligible to work in the U.S. without sponsorship
