Our client is seeking an Office Coordinator to join their team. Candidates interested in this position must be open to working in Boston and/or moving to New York. In this role, you will provide recruiting support and office administration, including high touch delivery of positive experiences to external prospective candidates, onboarding, and conducting well-informed and detail-oriented recruiting processes. Responsibilities for the Office Coordinator:
  • Organize interview schedules for internal and external applicants, interview teams  and hiring managers
  • Facilitate  complex  domestic and international travel arrangements
  • Meet, greet, and provide excellent customer service to prospective candidates at every touch point during the recruiting process as well as following up
  • Work closely in a team environment with the capability to  communicate competing priorities, urgent requirements, and your own work stream
  • Liaise with key business partners within the organization to drive and uphold hiring processes while adhering to tight deadlines 
  • Assure office systems are operating smoothly through effective vendor coordination for: printers, furniture, tenant improvements, mail, kitchen, office supplies, recycling, shredding service, and filing
  • Organize and track proxy cards for security system
  • Pick up mail daily, manage schedules for conference rooms, arrange for shipments, and arrange team lunches
  • Assist Executive Assistant to make travel arrangements, develop itineraries and agendas, special projects such as meetings with complex logistics
  • Assist with IT needs by being resident expert in teleconferencing, ordering equipment, assisting with onboarding, and coordinating technical support

Requirements for the Office Coordinator:
  • Bachelor's degree strongly preferred
  • 1+ years of experience supporting a recruiting team, coordinating projects, or administrative experience in a dynamic customer-focused environment.
  • Strong proficiency with the G-Suite platform and ATS systems
  • Familiarity with scheduling across multiple time zones
  • Strong organizational skills with  exceptional  attention to detail
  • Ability to prioritize work and keep specific, accurate, confidential information and records
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
