Responsibilities for the Patient Access Administrator:
  • Work independently to execute job responsibilities and tasks
  • Work with the physician, staff members and management to ensure a quality-based, customer-oriented flow of work
  • Utilize discretion and judgment to organize priorities, complete tasks and handle confidential patient information
  • Perform a wide range of administrative tasks utilizing well established skills and experience to support a medical office, including surgical scheduling, prior authorizations, medical office coding and billing as well as coordinating patient services such as appointments, testing, and referrals
  • Perform administrative coordination of a physician’ s office to include secretarial support, data management and billing/financial support
  • Maintain advanced knowledge and proficiency in medical office operation, insurance regulations and billing practices
  • Schedule patient office appointments; coordinating with others as appropriate
  • Provides information to physician as appropriate
  • Refer patients to appropriate hospital departments for registration, referral and financial services as needed
  • Obtain, provide and maintain medical records in support of patient visits, surgeries, billing and other needs
  • Maintain high level of knowledge and skill in the use of appropriate electronic systems to obtain and provide information
  • Monitor and use systems to execute tasks, such as EPIC and ICM-MD, for incoming and outgoing referrals and Patient Gateway for patient messages
  • Serve as super user for these systems and may train staff on their use
  • Arrange and/or provide information and visit support to patients and their families, such as distributing maps, information regarding procedures and interpreter services
  • Prepare for patient visits by placing appointment and surgery reminder calls, organizing patient files and printing forms and ensuring physician and office is prepared to provide for patient visit or surgery
  • Complete all aspects of patient checks-in in a courteous manner
  • Complete procedures to check-out patients as they exit exam rooms, including scheduling appointments and testing
  • Provide and coordinate office support to meet physician needs
  • Provide and coordinate patient appointments to include processes related to cancelled appointments and reminder notices
  • Interact in a courteous manner with physicians, nurses, and administrative staff to coordinate care of patients, obtain referrals, provide feedback, answer questions, etc.
Requirements for the Patient Access Administrator:
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
