One of Boston’ s premiere Investment Management firms is seeking a Project Administrative Assistant to join their team. As the Project Administrative Assistant, you will report to the Manager, Receptionist and Facilities Support and partner closely with members of the Administrative Support and Facilities team. The person in this role will be responsible for working the scheduled hours of 10: 00 a.m. to 6: 00 p.m. Monday through Friday with flexibility to adjust schedule as needed. Responsibilities for the Project Administrative Assistant:
  • Responsible for daily functions of reception desk by overseeing reception, answering phones, greeting visitors and managing conference rooms
  • Responsible for guest access and maintaining best practices to ensure security of the office
  • Work closely with facilities team on office issues such as work orders, inventory management and office upkeep
  • Provide support for a multitude of projects using Microsoft Outlook, internal databases and intranet
  • Support whole office administrative needs such as compiling monthly conference room reports, meeting and travel coordination, maintaining various databases, gift ordering and providing specific departmental support
  • Participate in the development and ongoing management of up-to-date clear documentation of workflows and processes
Requirements for the Project Administrative Assistant:
  • Bachelor's Degree
  • 1-2 years of relevant reception and administrative experience in a corporate environment strongly preferred
  • Flexible and enthusiastic team player with a positive demeanor and exceptional client service orientation
  • Organized, detail oriented, and able to manage and prioritize multiple tasks
  • Demonstrated ability to think critically, anticipate problems and identify solutions
  • Reliable, punctual, with a pleasant telephone manner and professional appearance and demeanor
  • Willing to roll up sleeves and complete any task no matter how small
  • Ability to effectively interact with a wide array of employees, clients and visitors
  • Proficiency in MS Outlook and Word with advanced Excel skills
  • Experience with calendar management preferred 
  • Must be eligible to work in the U.S. without sponsorship
