We are searching for a full-time Receptionist/Office Coordinator to join our bustling downtown Boston office. This role represents the face and tone of the company – greeting guests and making them feel comfortable, answering the phone and transferring calls, managing sensitive paperwork, proactively solving problems, and keeping the day-to-day operations running smoothly. Hours: 8: 00am-5: 00pm

Salary: 35K+ (based on prior experience)
Responsibilities for the Receptionist / Office Coordinator:
  • Answer the main phone line and direct calls appropriately
  • Greet and assist visitors as they arrive to the office
  • Process and file all incoming paperwork for contract employees
  • Initiate and verify employment authorizations
  • Prepare new client contracts, send via DocuSign, and file accordingly as needed
  • Work alongside payroll to ensure delivery of payments to contract workers
  • Keep basic office materials up-to-date and distributed to employees (monthly calendar of activities, phone lists, and contact sheets)
  • Coordinate catering orders for meetings as needed
  • Monitor office supply inventory and place orders
  • Assist in projects for senior management as needed
  • Prepare items for shipping via mail/UPS/FedEx as needed
  • Coordinate internal onboarding processes: initiate a new hire form, assemble new hire binder, create training schedule, send invitations, and prepare desk
  • Assist in coordinating monthly fun events in the office

Requirements for the Receptionist / Office Coordinator:
  • Bachelor’ s degree
  • Excellent organizational, verbal, and written communication skills
  • Proactive with a can-do mentality
  • Ability to exercise discretion and sound judgement
  • Superior ability to multi-task, prioritize and be attentive to details
  • Willingness to accept direction, but also can take initiative and work independently
  • Strong computer skills (internet savvy, database entry, MS Office, Excel, Power Point)
  • Must be eligible to work in the U.S. without sponsorship
