A leading hospital in Boston, MA is seeking a Senior Administrative Assistant to support the Executive Vice Chair of Medicine (EVC). You will work on a team with another administrative assistant in the Department of Medicine (DOM). Apply today!

Compensation: Up to $60K

Responsibilities for the Senior Administrative Assistant:
  • Maintain daily calendar of meetings and events and proactively resolve schedule conflicts 
  • Generate and maintain the EVC’ s administrative and clinical responsibilities with follow-through, e.g., travel, accommodations, reservations, applications, etc.
  • Attend meetings if necessary to ensure proper room set-up and A/V support, and take meeting minutes as necessary
  • Develop, organize and maintain all files and record-keeping systems.
  • Prepare, copy and sort reports and correspondence; open and sort mail and answer routine correspondence as directed
  • Prepare and/or process supply requisitions, expense reimbursements, check requests, and advanced authorizations
  • Provide coverage for the other senior administrative assistant who answers and screens all incoming phone calls
  • Manage incoming information (emails, publications, monthly reports, and other sources of data) 
  • Create complex and highly polished PowerPoint presentations and prepare Microsoft Excel charts and graphs
  • Prepare letters and documents from voice recordings created by the EVC
  • Schedule patient appointments in Epic
  • Counsel patient on daily basis regarding their upcoming appointments and questions
Requirements for the Senior Administrative Assistant:
  • Epic proficiency, including chart review and scheduling
  • Advanced keyboarding and transcription skills
  • Microsoft Office suite, especially Outlook (advanced level), Word (advanced level), PowerPoint (advanced level) and Excel (proficient level)
  • Professional, appropriate, and effective communication skills – written, verbal, non-verbal
  • Intermediate to advanced understanding of medical terminology/procedures
  • Strong interest in learning about cardiovascular care and extracting important medical information from charts
  • Able to multitask and switch priorities based on patient needs, physician and NP schedules, and office flow in a calm and efficient manner even under stressful situations
  • Positive attitude with respectful, professional, and friendly customer service
  • Maintain confidentiality in accordance to HIPAA rules and regulations and keep sensitive office information confidential
  • Highly organized and able to keep office operating smoothly with minimal supervision
