Responsibilities for the Senior Administrative Assistant:
  • Coordinate scheduling and communicate with members directly and regularly, providing stewardship as needed
  • Oversee all development events including house parties, round tables, stewardship events, Board and Council events including:

    • Planning, vendors, catering and on-site management
    • Preparation of collateral and materials
    • RVSP tracking and reporting
    • Preparation of donor bios and research
    •   List creation and follow-up
  • Coordinate scheduling, enter activities into Allegiance, and maintain correspondence with prospects and donors
  • Assist with prospect research for major gift officers
  • Assist the manager of annual and planned giving with processing of renewal solicitation letters
  • Ensure proper donor gift processing, including timely and accurate data entry, creating new records, tracking and entering contact and conversation reports in Allegiance, and weekly acknowledgements and follow-ups
  • Assist with monthly processing and data maintenance in Allegiance, including monthly sustainer reporting, monthly renewals, membership cards, monthly credit card rejections, and proper data connections from the membership and major donor modules
  • Attend meetings and take and distribute minutes as requested


Requirements for the Senior Administrative Assistant:
  • Must be able to pick up new technologies/software quickly
  • Experience with Allegiance Software preferred
  • Proficient with Excel and data entry
  • Technology savvy with a strong knowledge working with Microsoft Office
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Ability to work independently and as part of a team
  • Must be eligible to work in the U.S. without sponsorship
