In this contract role, you will provide administrative support to the Intellectual Property and Employment Law groups within the Legal Department, including several attorneys and paralegals. Responsibilities for the Legal Administrative Assistant:
  • Answer phone and direct callers, prepare correspondence, create and edit presentation materials, maintain calendars, assist with various projects, schedule meetings, and arrange travel
  • Prioritize multiple projects
  • Photocopy, scan, and organize documents
  • Interact with executive personnel and internal and external stakeholders
  • Develop and maintain on line filing systems by organizing information for accuracy and accessibility
  • Process expense reports and check requests
  • Manage deposition logistics
  • Responsible for other administrative duties as assigned and will work with others in Legal as needed
  • Participate in various projects and other opportunities to assist in substantive legal support matters commensurate with candidate’ s capabilities and interests
Requirements for the Legal Administrative Assistant:
  • 3-4+ years of secretarial/administrative or equivalent experience supporting senior management
  • Ability to set priorities, handle multiple tasks and projects, track and follow-up on projects
  • Ability to handle a variety of internal and external contacts via telephone, e-mail and in person
  • Proficient in computer programs: experience with MS Office, Outlook, Concur, Success Factors; Foundation IP and/or iManage a plus
  • Ability to work independently and as team member, and exercise good judgment to handle a variety of situations
  • Excellent grammar, proofreading, typing and business writing skills
  • Associate’ s Degree or equivalent experience
  • Familiarity or experience with patent prosecution or maintenance is a plus, but not required. Proficiency in Foundation IP and/or iManage a plus
  • Ability to treat highly sensitive and confidential material appropriately
  • Must be eligible to work in the U.S. without sponsorship
